Create certificates to quickly add pre-priced items to your estimates, quotes, and invoices.
Certify and Guarantee Your Work
If you regularly issue certificates or guarantee documents, you can create a price list of items that can be quickly and easily added to your quotes and invoices. There's no limit on how many you can create, so Toolbot enables you to do things your way.
Start by creating your personalised price list of certificates issued for your trade. Then, with a few simple clicks, you can add them to your estimates, quotes, and invoices.
To create a new certificate, click Price Lists in the main menu of the Toolbot window to expand the list. Then select Certificates.
If you have not yet created any certificates, click Add a new certificate, otherwise click Add Certificate, to open the Add Certificate pop-up, and enter the following information:
Certificate
This is the description of the certificate, which will be displayed on any estimates, quotes, or invoices that you add it to.
Price ex VAT
Enter the net price, excluding any VAT. Toolbot automatically populates the Price inc VAT textbox based on the value you add here.
Price inc VAT
If you have already entered the net price, this value will be calculated for you. Alternatively, enter the gross price of the certificate including VAT here, and the Price ex VAT textbox is auto-populated.
The Price ex VAT and Price inc VAT values will be the same if your business is not VAT registered. You can change this option on the Business Profile page of Toolbot.
Click Save when you have completed the information, or Close to exit without saving changes.
New items will be displayed in the Certificates table.
Amend a Certificate
Navigate to the Certificates page if you haven't already done so.
Select the certificate you want to delete or use the Search box to find it. In the Certificates table, click the three stacked dots on the right-hand side of the row, and select Edit.
In the pop-up, make your changes, and click Save, or Cancel to exit without saving.
Good to know
Amending the name or price of a certificate does not affect your existing estimates, quotes, or invoices.
Delete a Certificate
Navigate to the Certificates page if you haven't already done so.
Select the certificate you want to delete or use the Search box to find it. In the Certificates table, click the three stacked dots on the right-hand side of the row, and select Delete.
In the confirmation pop-up, select Yes to continue, or Cancel to close the pop-up without deleting.
Good to Know
This removes the certificate from your list, but it will still appear on any existing estimates, quotes, or invoices.
