Workflow
Understand the Toolbot workflow for managing your jobs.
As you create estimates, quotes, and invoices in Toolbot, each job passes through a number of stages in the workflow. Each stage informs Toolbot what actions are required to help you at each point along the process of quoting for a job, through to receiving payment.
You can manually update these stages, but they cannot be renamed. The workflow stages are as follows:
Estimates & Quotes
Draft
The estimate/quote is being worked on.
Sent
You have sent the estimate/quote to your client using Toolbot or your mail client.
Waiting
The customer has not yet accepted or declined the estimate/quote.
Accepted
The customer has accepted the estimate/quote and you are ready to book in to do the job.
Declined
The customer does not want to go ahead with the work, but you can amend the estimate/quote and re-send it.
Invoices
Draft
The invoice is being worked on.
Due
The invoice has not been paid, but the customer is still within the number of days in the Payment Terms.
Overdue
The invoice has not been paid, and the customer has exceeded the number of days in the Payment Terms.
Paid
The invoice has been paid in full.
Written Off
The invoice has not been paid and you do not expect your client to pay.
