My Catalogue
Create your custom price list of parts and materials to quickly add to estimates, quotes and invoices.
Toolbot helps you manage your catalogue of the parts and materials you consume. With a super efficient list of items, it is quick and easy to find the part you're searching for, or add new items. When creating estimates, quotes and invoices, your catalogue is readily available so you can add existing items, or even create new ones on the fly.
Toolbot includes a pre-populated list of categories so you can quickly add and organise the parts and materials you regularly use. You can also add your own categories.
To manage your catalogue, from the main menu, click Price Lists, then select My Catalogue. This opens your catalogue of parts and materials.
Viewing Items
Toolbot lists the items in your catalogue by category, making it easy to find what you need. You can also search for an item by typing in its name in the Search box, and Toolbot returns all matching items across all categories.
Furthermore, you can use the filters to narrow down your search. Select one or more Parent Categories, then choose your subsequent Main and Sub Categories, and the list of items within these categories are displayed. Click Clear to remove all filters, or click the X on a category name to remove it.
Add an Item
If this is your first time using My Catalogue, click Build your price list then, on the catalogue page, click Add Item. This opens the Add Item window. Fill in the details as follows:
Parent Category
From the select list, choose a parent category for the item, such as Electrical & Lighting or Heating & Plumbing.
Or, click Add Category to create a new one; in the window, type the name of the new category, and click Save. You can now select your new category from the list.
Main Category
From the select list, choose a main category for the item, such as Wiring Accessories or Ventilation.
Or, click Add Category to create a new one; in the window, type the name of the new category, and click Save. You can now select your new category from the list.
Sub Category
From the select list, choose a sub category for the item, such as Switches & Sockets or Air Conditioning.
Or, click Add Category to create a new one; in the window, type the name of the new category, and click Save. You can now select your new category from the list.
Supplier
Select the name of the supplier from the list, or click Add Supplier to create a new one.
Part Number
Include the part number / product code to identity the item at the wholesaler.
Price ex VAT (£)
Enter the price excluding VAT. This will automatically populate the Price inc VAT (£) textbox.
Price inc VAT (£)
Enter the price including VAT if not automatically populated from the Price ex VAT (£). You can add the VAT include price here and Toolbot will calculate the price ex VAT for you.
Unit (Qty)
Optionally, if the item is a multipack, include the number of items in a pack.
Web Address
If you want to include the web address for item on the website of the wholesaler from whom you normally buy this item, include it here. Create a link to the item for fast lookup to check pricing and stock.
Description
Enter the description of the item. This will appear on your estimates, quotes, and invoices.
When you have included all the information for the item, click Save to close the window and return to the catalogue, or Close to exit without saving.
Edit an Item
From the My Catalogue page, locate the relevant item. Click the ellipsis (three dots) menu on the right of the item in the catalogue, and select Edit. This open the Edit Item window. Make your changes, and then click Save to close the window and return to the catalogue, or Close to exit without saving.
Delete an Item
From the My Catalogue page, locate the relevant item. Click the ellipsis (three dots) menu on the right of the item in the catalogue, and select Delete. In the confirmation window, click Yes to proceed with deleting the item, or Cancel to exit without deleting.
Good to know
Amending the name or price of an item, or deleting an item, does not affect your existing estimates, quotes, or invoices.
