Toolbot makes it easy to convert estimates and quotes in super-fast time.

Ensure you have first created an estimate or quote and, having completed the job for your customer, are now ready to send them the bill.

Convert an Estimate or Quote to an Invoice

To create a new invoice, from the main menu in the Toolbot screen, click Work, then Estimates & Quotes. In the table of jobs, click the Edit icon on the right-hand side of the job you want to convert. From the status button menu in the top right-hand corner of the page, select Mark as Invoice.

If the status button menu does not display Mark as Invoice, you should first select Mark as Accepted to update Toolbot that your customer already accepted the estimate or quote and was happy to proceed with the work. Then you can select Mark as Invoice.

In the confirmation window, click Yes to convert the job to an invoice, or Cancel to exit without updating the job status. You can now edit the job as an invoice.

Edit Invoice

To edit an existing invoice, from the main menu in the Toolbot screen, click Work, then Invoices. In the table of invoices, click the Edit icon on the right-hand side of the job you want to edit.

This opens the Edit Invoice page, which comprises the following tabs:

Document Workflow

When you create an estimate, quote, or invoice in Toolbot, the job will pass through a workflow and have a status at each stage. Please see the Workflow page to understand each stage.
